Proxy Assignments Due by August 15

Acceptance of proxy assignments will open at Midnight on August 16. You do not need to do anything with the voting assignments if you assign your club’s proxy to Doretha Pair, DTM. The Trio has been meeting with the candidates and will be voting in the best interest of the District.

In case you missed it, below is the email from International President, Rahdi Spear, DTM, to Club Presidents and Club Secretaries:

Dear Toastmasters Club President and Club Secretary,

If your club’s proxy has not been assigned, please visit toastmasters.org before 11:59 p.m. Eastern on August 15.

Your club has important votes to cast during the 2025 Annual Business Meeting (ABM). As stated in the Bylaws of Toastmasters International, Article X, Section 1, a Toastmasters Member Club in good standing is entitled to two (2) votes at the ABM in each matter presented for consideration (elections and proposals).

There are three steps to casting votes at the ABM. It is your role to ensure the completion of Step 1 by August 15, 2025, at 11:59:59 p.m. Eastern Daylight Time (EDT)/Coordinated Universal Time (UTC) -4.

The club meets to discuss the international candidates and the proposals and to choose a proxyholder. The Club President or Secretary designates the proxyholder through the Toastmasters International website.
  • A proxyholder must be designated, even if the Club President or Secretary is assigning the proxy to themself.
  • Only one person may carry the votes for a club.
  • Once your club has chosen the proxyholder, follow the instructions below:
  1. Log in to toastmasters.org with your email and password.
  2. Scroll to the Annual Business Meeting section on My Home (directly below the My Education and Achievements section).
  3. Click on Club Proxy & Voting Instructions. If you are an officer in multiple clubs, select the club for which you want to assign the proxy.
  4. Click on the Start button next to Designate Proxyholder.
  5. Select from the three options for designating a proxyholder: A member of the club, the 2025-2026 District Director, or another active Toastmaster.
  6. Follow the prompts to complete the process. To submit your proxyholder designation, enter your name into the Signature box at the bottom of the page, click the checkbox, and press Confirm proxyholder.
  7. If your club wants to use the option to provide instructions to the proxyholder, click on Go to “Designate Voting Instructions.” Voting instructions can also be provided later from Club Proxy & Voting Instructions.

Once your club’s proxy is assigned, please advise the proxyholder that they will receive a communication on how to complete Step 2: Credentials. The acceptance period, during which individuals pick up the votes assigned to them, starts on August 16 and ends on August 19.

If the officers in your club have changed, please notify World Headquarters immediately by going to the Club Officer Assignment section of Club Central on the Toastmasters International website. Please plan to attend the ABM, either onsite or online, on Friday, August 22, at 4 p.m. EDT/UTC -4. Please note that voting for each election and proposal will be opened, closed, and tallied before proceeding to the ballot for the next election or proposal. Therefore, it is essential to attend from the start.
